Getting started


What is RA Scan? RA Scan is our robust, lightning-fast ticket scanning application available for iOS and Android. It is designed to help you run an efficient entry process for events of any scale, location, or crowd size.

Download the App Ensure all scanning devices have the app installed:


Accessing your event

To log in to the app, you do not need a username and password. Instead, you use a unique Access Code generated specifically for your event.

How to Generate an Access Code

  1. Log in to RA Pro via your web browser.
  2. Navigate to the RA Scan Access page for your specific event.
  3. Select Create Code.

Pro Tips:

  • You can have up to 5 valid access codes at a time; a single access code can be used across multiple devices simultaneously
  • Access codes expire 7 days after creation
  • Access codes are case-sensitive and use a mix of uppercase letters, lowercase letters, and numbers

Logging In

  1. Open the RA Scan app on your device.
  2. Enter the specific Event Access Code.
  3. Once the Access Code is entered, the app will automatically download the ticket data.

Logging Out & Switching Events


  1. Select the Logout option in the menu.
  2. To switch events, enter the new Access Code for the next event.

⚠️ Before you log out, check for unsynced scans

If your device has been offline, some scans may not have uploaded yet. RA Scan will warn you if you have unsynced scans when you try to log out.

  • Cancel the logout, reconnect to Wi-Fi or mobile data, and wait for the scans to sync.
  • Once the unsynced count reaches zero, it's safe to log out.
  • Logging out with unsynced scans will permanently lose those check-ins and rejections — they can't be recovered, and those attendees won't show as scanned in RA Pro.

Scanning tickets

RA Scan reads both QR codes and standard barcodes, so it works with RA tickets as well as tickets imported from other platforms

Once logged in, all ticket data is stored locally on the device, ensuring speed and reliability.

Scanning via Camera

  1. Go to the Scan tab.
  2. Point your device’s camera at the attendee's QR code.
  3. Valid Entry: If the ticket is valid, you will see a green confirmation message.
  4. To scan the next person, tap Resume Scanning.

Scan Outcomes & Troubleshooting

If a ticket is not valid, the screen will turn red and display one of the following errors:

  • Rejected ticket
  • Already scanned
  • Incorrect gate - your device is set to not scan in this ticket tier
  • Ticket does not exist

Offline scanning

We always recommend scanning while connected to good, stable internet (Wi-Fi or mobile data) for the best performance. A strong connection keeps your ticket data, stats, and other devices in sync in real time, so everyone on the door is working from the same up-to-date picture.
But if your internet drops, you can keep scanning.
RA Scan is built to keep the queue moving even when your connection is patchy or disappears entirely:
  1. As long as you logged in while online, all the ticket data is already stored on your device — so you can carry on scanning with no internet at all.
  2. Any scans you take offline are saved on your device and sync automatically the moment you're back online.
  3. Multiple devices can keep scanning offline at the same time on the same event.

Good to know

  • Always log in while connected to the internet before your event — this is what downloads the ticket data to your device.
  • Reconnect to Wi-Fi or mobile data when you can, so your scans sync and your stats stay accurate.

Manual search & entry

If an attendee cannot find their QR code, has a broken screen, or the camera fails to scan, you can check them in manually.

  1. Select the Search tab.

    Use the search bar to find the ticket using one of the following:

    • Customer Name: The billing name used to purchase the ticket.
    • Barcode ID: The 8-digit number located beneath the QR code.
    • Order Number: The code found on the booking confirmation email (e.g., RAC6FQ4WGME-343    ).
  2. Tap the correct ticket from the list.
  3. Tap Scan to check them in.

Undoing a scan

If you accidentally scan a ticket or scan the wrong person, you can reverse the action.

Option A: Immediate Undo

  1. Immediately after scanning, do not press "Resume scanning."
  2. Tap the Customer Name displayed on the scan result screen.
  3. This will open the ticket details. Select Undo Scan.

Option B: Search to Undo

  1. Go to the Search tab.
  2. Find the attendee by name, barcode ID or order number.
  3. Select the ticket.
  4. Tap Undo Scan.

Rejecting a ticket (refusing entry)

If a customer presents a valid ticket but is turned away at the door (e.g., refused entry by security), you can update their ticket status, ensuring your event stats remain accurate and refunds can be issued where appropriate.

How to Reject a Ticket

  1. Scan the customer's ticket as you normally would.
  2. Immediately after the successful scan screen appears, tap the Customer Name. This will open their full ticket details.
  3. Select Undo scan to reverse their successful check-in.
  4. Select Reject.

Monitoring entry statistics

You can track the progress of your event in real-time directly through the app.

Quick Overview At the top of app, under the event name and date, a progress bar provides a visual snapshot of how many tickets have been scanned versus the total attendees.

Detailed Breakdown For a deeper analysis of your door figures, tap the Stats tab. Here you can view:

  • Attendees checked in: The total number of customers successfully admitted to the event.
  • Rejected tickets: The number of customers who presented a ticket and were scanned, but were subsequently refused entry to the event
  • By this device: A specific count of check-ins and rejections processed by your specific handset.
  • Breakdown by tier: A granular look at check-ins and rejections per specific ticket type (e.g., Early Bird, First Release and Guestlist).

Managing gates (ticket filtering)

If your event has multiple entry points (e.g., a Guestlist lane vs. General Admission lane), you can configure specific devices to only accept certain ticket types.

How to Configure Your Device

  1. Tap the Gates tab. This displays all "Ticket Chains" (groups of tickets) and individual "Ticket Tiers" for the event.
  2. Select a Ticket Chain to expand it and view the individual tiers within it.
  3. Uncheck the box next to a specific tier to stop the device from scanning that ticket type.
  4. Uncheck the box next to a full Ticket Chain to stop the device from accepting all tickets within that group.

The "Incorrect Gate" Error

If you attempt to scan a ticket that has been unchecked in your Gates settings, the app will prevent the check-in.

  • You will receive an Incorrect Gate error message.
  • The customer will not be checked in.
  • To admit them, you must either direct them to the correct gate or re-enable that ticket tier in your settings.
